Terms of service

Last updated 3 Nov 2026

These terms are an agreement between you and Stockulate Ltd (“we”, “us”), company number 15893175, for your use of LandlordAhead. By creating an account you accept them. Our privacy policy explains how we handle personal data.

1. What LandlordAhead does

LandlordAhead is a record-keeping and reminder tool for landlords of residential property in England. It stores certificate dates and files, shows PRS register deadlines, emails reminders, sends documents to tenants by email on your instruction, and logs repair jobs.

2. It is not legal advice

  • You remain responsible for complying with the law, including gas and electrical safety, energy performance, deposit protection, the Renters’ Rights Act and PRS registration.
  • Deadlines and guidance on LandlordAhead come from public sources such as GOV.UK. They can change, and we may not update them straight away. Check anything important against GOV.UK or with a qualified adviser.
  • Reminders help you remember. A reminder that is late, missed or goes to spam doesn’t change your legal deadlines.
  • LandlordAhead does not cover Wales, Scotland or Northern Ireland, which run separate schemes.

3. Sending documents to tenants

When you send a document, we email it as an attachment to the address you give and record what was sent, to whom and when. We record that the email was sent, not that it was received or read. Whether an email counts as valid service depends on your tenancy and the rules for that document, so take advice if you’re unsure.

4. Your account

  • You must be 18 or over and give an email address you control.
  • Keep access to your email secure: anyone who can read it can sign in to your account.
  • Tell us straight away at privacy@landlordahead.com if you think someone else has accessed your account.

5. Your content and tenant data

  • You own what you upload. You give us permission to store and process it only to provide LandlordAhead to you.
  • You must have a lawful basis for adding tenants’ and contractors’ personal data, and tell them, for example in your own privacy notice, that you use LandlordAhead to manage it.
  • Only upload documents you are entitled to share, and don’t upload unlawful or harmful content.

6. Fair use

Don’t use LandlordAhead to send unsolicited messages, harass anyone, test or break its security, or access anyone else’s data. We may suspend accounts that do, and will tell you why unless the law prevents it.

7. Price

LandlordAhead is free while it is in early access. Before we start charging, we will email you the price at least 30 days in advance. You can close your account before then at no cost.

8. Availability and changes

We aim to keep LandlordAhead running, but we can’t promise it will always be available or error-free. We may change features. If a change significantly affects you, we’ll tell you in advance.

9. Our liability

  • Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.
  • We are not liable for fines, penalties, rent repayment orders, lost rent, failed possession claims or other losses arising from your compliance obligations, including if a reminder was late or not sent.
  • Otherwise, our total liability to you in any 12 months is limited to the greater of £100 and the amount you paid us in that period.

10. Ending your account

You can delete your account at any time from your account page, or by emailing privacy@landlordahead.com. Download any certificates you need first. We may close accounts that break these terms, or end the service with 60 days’ notice. Data is then deleted as described in our privacy policy.

11. Data processing terms

When we process tenants’ and contractors’ personal data for you, you are the controller and we are your processor. These terms form the contract required by Article 28 of the UK GDPR. We will:

  • process the data only to provide LandlordAhead and on your documented instructions (using the service is your instruction);
  • make sure anyone who can access it is bound by confidentiality;
  • keep it secure with appropriate technical and organisational measures;
  • use only the sub-processors listed in our privacy policy, with equivalent obligations, and tell you before adding new ones so you can object or close your account;
  • only transfer it outside the UK with the safeguards UK law requires;
  • help you respond to requests from people exercising their data rights;
  • tell you without undue delay after we become aware of a personal data breach affecting your data;
  • help you with data protection impact assessments and consultations with the ICO where relevant;
  • delete the data when your account closes, unless the law requires us to keep it;
  • give you the information you need to show we meet these obligations.

12. General

If we change these terms, we’ll email you at least 30 days before significant changes take effect. If any part of these terms is found unenforceable, the rest still applies. These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
