Why it matters
Landlords must have every gas appliance and flue they provide checked every year. HSE says a gas safety record is valid for 12 months from the date of the check. Letting with an overdue check breaks the Gas Safety (Installation and Use) Regulations 1998, and puts your tenants at risk.
What to do today
- Book the check. Use a Gas Safe registered engineer and ask for the earliest slot.
- Tell your tenant. Explain that the check is overdue, agree a time for access and confirm it in writing.
- Fix anything the engineer finds before relying on the new record.
- Give your tenant a copy within 28 days of the check. Email is fine if they’re happy to receive it that way. How to give tenants the record.
- Update your records. Once your property is on the PRS database, an expired or renewed certificate must be updated within 28 days.
Starting a new tenancy?
You must give new tenants a current gas safety record before they move in. If the existing record is still inside its 12 months, you can give the new tenants a copy of it. If it has expired, get the check done first.
Stop it happening again
- Book the next check up to two months early: you keep the original renewal date. How the two-month rule works.
- Keep each record until two further checks have been done.
- Put the expiry date somewhere that will remind you. LandlordAhead emails you 60, 30 and 7 days before.
